Why small businesses should issue POs

A purchase order is the buyer's written instruction to a supplier: what, how many, at what price, delivered where and by when, on what terms. Its practical value is the number — the supplier quotes it on the delivery note and the invoice, and matching the three (order, delivery, invoice) is how accounts catch short deliveries and overcharges without an argument. Businesses that start issuing POs at a few thousand a month in purchases stop losing money to ‘I thought we said’. Keep terms short and specific (payment days, delivery expectations, the PO number on the invoice), number sequentially, and send it as a PDF. Honest notes: a PO is generally an offer that becomes a contract when the supplier accepts, so check it before sending; the tool is a document generator, not an approvals workflow or a stock system.
