Quotation Generator
Line-item quotes with tax, validity and notes โ print or save as PDF.
About this tool
Your details, the client, numbered line items with quantity and unit price, a tax rate, a validity date and terms โ the quote lays itself out as you type and prints (or saves as PDF through the print dialog) on a clean A4/Letter sheet. The draft is kept in this browser so you can come back to it.
A quote that gets accepted
A quotation is a promise of price for a defined scope for a limited time, and the three things that get quotes rejected or disputed are all things the template forces you to state: what exactly is included (one line per deliverable, not one line saying "website"), what it costs before and after tax, and how long the price holds. Number your quotes (the tool suggests the next number), give a validity of 14โ30 days, and put payment terms on the sheet โ a deposit on acceptance is normal for work over a few hundred. Honest notes: the tool is arithmetic and layout, not legal advice; whether a quote becomes a binding contract on acceptance depends on your jurisdiction and your terms, so for large jobs pair it with a written agreement. When the quote is accepted, the invoice generator turns the same lines into a bill; the freelance rate calculator tells you whether the day rate you quoted covers your costs, and the VAT calculator checks the tax line.
Frequently asked questions
What is the difference between a quote and an estimate?
A quote is a fixed price for a defined scope, valid for a stated period; an estimate is a best guess that can change. Label the document as the one you mean โ clients rely on the word.
How do I save it as a PDF?
Click Print and choose 'Save as PDF' as the destination. Only the quote sheet prints; the form and the page furniture are hidden.
Is my client's information uploaded?
No. The draft is stored in this browser's local storage and never sent anywhere. Clearing site data deletes it.
Can I add a discount?
Add a line item with a negative unit price, or a line labelled 'Discount' โ the totals handle negatives correctly.
How long should a quote be valid?
Two to four weeks is typical. Shorter if your costs move (materials, exchange rates), longer for public-sector tenders that ask for it.
