Out-of-Office Message Generator
Auto-reply subject and message for holidays, travel, leave or leaving a job.
About this tool
Pick why you're away, add your dates, name and title, a backup contact and an optional urgent route, choose a professional or friendly tone, and copy the subject line, the full message and a short version for internal or mobile use into Outlook, Gmail or Apple Mail.
An auto-reply that actually helps
The people who email you while you're away need two things: when you'll be back and who can help in the meantime. Everything else is optional. Dates are written out with the weekday — ‘Monday 21 October’ — so there is no confusion between US and European date formats. Name a backup only after asking them, include an urgent route if your role needs one (a shared inbox or office number), and don't promise to check email if you won't; it creates expectations you will then fail. For sick and parental leave, ‘out of the office’ is enough in external replies — nobody outside needs medical details. When leaving a job, keep the auto-reply on for a few weeks pointing to your successor, and say the inbox isn't monitored. Many mail apps can send a separate message internally and externally; use the short version for colleagues. Turn the reply off for mailing lists if your app allows, to avoid reply loops. The email signature generator matches the sign-off, the resignation letter generator handles leaving, the time zone converter helps when travelling, and the working days calculator counts your leave.
Frequently asked questions
What should an out-of-office message say?
That you're away, when you'll be back, and who to contact in the meantime. Add an urgent contact route if needed, and keep personal details out.
Should I say why I'm away?
Not necessary. ‘Out of the office’ or ‘on holiday’ is plenty; for sick or parental leave, no detail is needed in external replies.
How do I set it up in Outlook or Gmail?
Outlook: File → Automatic Replies (or Settings → Mail → Automatic replies). Gmail: Settings → See all settings → Vacation responder. Paste the subject and message.
Is anything stored?
No. The message is generated in your browser and nothing is saved or sent.
