FTE Calculator
Full-time equivalent, pro-rata salary and holiday for part-time staff.
About this tool
Set your full-time hours, full-time salary and full-time holiday entitlement, then list each person or role with their weekly hours. The table shows each person's FTE, pro-rata salary and pro-rata holiday, with the team's total headcount and FTE.
Understanding full-time equivalent
Full-time equivalent (FTE) expresses someone's working hours as a fraction of a full-time role, which makes part-time staff and team capacity easy to compare. FTE = hours worked รท full-time hours, so 22.5 hours a week where full time is 37.5 hours is 0.6 FTE. Adding everyone's FTE gives total capacity: the example's four people (37.5, 22.5, 30 and 10 hours) are 2.67 FTE. Budgets, staffing plans and funding bids are often set in FTE rather than headcount. The same fraction gives pro-rata pay. A role paying 36,000 full-time pays 21,600 at 0.6 FTE. It also gives pro-rata holiday. In the UK, part-time workers have the right not to be treated less favourably, so a full-time entitlement of 28 days, including bank holidays, becomes 16.8 days at 0.6 FTE. That's 5.6 weeks of their own working pattern. Employers define full time differently (35, 37.5 or 40 hours), so always use your organisation's figure. Honest limits: people with irregular hours or term-time contracts accrue holiday differently, and overtime, shift premiums and benefits that aren't pro-rated aren't included. Works in any currency. The PTO accrual calculator, the employee cost calculator and the timesheet calculator are related.
