Cold Email Generator

A short personalised outreach email with subject lines and a follow-up.

About this tool

Fill in who you are, who you're writing to, why now (something specific about them), the problem they probably have, what you do, a proof point and the call to action. You get three subject-line options, a short email body and a follow-up for the same thread. The status line counts words and flags spam-trigger words.

What makes a cold email work

Busy people decide in seconds whether to read an unsolicited email, so the best cold emails are short, specific and about the recipient. A reliable structure is: a personal opening that shows you've done your homework (a trigger such as a new site, funding round, job post or launch); the problem that trigger usually creates; one sentence on what you do; a concrete result for a similar customer as proof; and one easy question to answer. The example comes to about 70 words, well under the roughly 125-word mark where reply rates tend to fall. Subject lines should be short, plain and relevant, such as "Rota planning at Harbour Hotels", rather than clickbait. A polite follow-up three or four working days later, in the same thread, often gets more replies than the first email. Avoid spam-trigger words like "free", "guaranteed" or "act now", heavy formatting, images and lots of links, which hurt deliverability. Send from a properly set-up domain and keep volumes modest. Personalise every message: mass-sending the same text is both less effective and more likely to break rules. Honest limits: follow the law where you and the recipient are, including GDPR and PECR in the UK and EU and CAN-SPAM in the US, and include a simple way to opt out. Never buy email lists. The email subject line tester, the email signature generator and the headline analyzer are related.

Frequently asked questions

How long should a cold email be?

Short. Under about 125 words, with one idea and one question, usually performs best.

What's a good cold email subject line?

Short, specific and relevant to them, such as '[Topic] at [Their company]', with no clickbait or spam words.

When should I send a follow-up?

About three or four working days later, in the same thread, briefly adding value or a reminder.

Is cold emailing legal?

B2B cold email is allowed in many countries with conditions, such as relevance and an easy opt-out. Check GDPR/PECR, CAN-SPAM or your local rules. This isn't legal advice.
