Complaint Letter Generator
A firm, factual complaint letter with your request, deadline and consumer rights.
About this tool
Enter your details and the company's, the order or reference number, what you bought and when, what went wrong and what you have already tried. Choose what you want โ a refund, replacement, repair, compensation or an explanation โ the number of days to respond, and whether to mention UK, EU or US consumer rights. Pick a polite, firm or final-notice tone. The letter builds in the preview, ready to copy, print or download.
How to write a complaint letter that gets results
Effective complaints are calm, factual and specific. Say what you bought or the service you received, when and for how much, then describe the problem with dates and what you expected instead. Mention what you have already done, such as calls and reference numbers. Then ask for one clear remedy and set a reasonable deadline, usually 14 days. The firm tone ends by saying you will take the matter further if there is no reply. The final-notice tone names where you will escalate, such as an ombudsman, an alternative dispute resolution scheme or the small claims court. The optional rights line quotes the core of consumer law in plain words. In the UK, the Consumer Rights Act 2015 says goods must be of satisfactory quality, fit for purpose and as described. In the EU, consumer goods carry a legal guarantee of at least two years. In the US, the implied warranty of merchantability applies. Honest limits: this is not legal advice, and your rights depend on where and how you bought. Check your country's consumer advice service, such as Citizens Advice in the UK or the FTC in the US. Send the letter by email or tracked post and keep copies of everything. The readability checker keeps it clear, the word counter keeps it short and the date difference tool counts days to your deadline.
Frequently asked questions
How do I write a complaint letter for a refund?
State what you bought, when and the price, describe the fault with dates, ask clearly for a refund and give a deadline such as 14 days. Keep copies of everything.
How long should I give a company to respond?
14 days is common and usually considered reasonable. Give a specific date rather than a number of days.
What are my rights in the UK for faulty goods?
Under the Consumer Rights Act 2015, goods must be of satisfactory quality, fit for purpose and as described. In the first 30 days you can usually reject faulty goods for a full refund. This is general information, not legal advice.
Is my draft saved?
Yes, in your browser only. It is never uploaded, and Start over clears it.
